Position Summary
The Admissions Coordinator will be responsible for supporting all facets of the admission process from inquiry to enrollment with responsibility for admission-related events. At critical times of the year, this position may be required to work outside of traditional full-time hours given demands of the application cycle (e.g., tours, interviews, application questions, etc.). Ideally, this position will be filled by someone with experience in admissions or sales functions and processes, who is strong at multitasking, works well in a team setting, seeks to solve problems as well as embraces and enjoys being organized, efficient and detail oriented.
Essential Duties and Responsibilities
Responsible for greeting Porteous Hall office guests and prospective families as well as answering all incoming admissions calls and responding to admissions inquiries
Conducts nursery to eighth grade campus tours
Serves as a support professional for all admission and enrollment data entry, including data entry and processing of all inquiries, applications and enrollments in collaboration with the Director of Admission.
Manages admission candidates from inquiry to enrollment:
Engages and communicates with prospective families in a timely manner throughout the admissions experience, including checking for additional questions and inquiring about their experience.
Tracks all prospective students’ checklists in SchoolAdmin as well as all touchpoints with applicants; conducts all follow-up duties in a timely manner.
Schedules and communicates appointment confirmations for all admissions-related meetings for prospective families and follows up with no-shows/cancellations.
Requests student records, gathers teacher reports for applicants and scans completed student files into the team drive for admission consideration; confirms all records have been submitted prior to admissions committee meetings.
Plans and executes all admissions-related events including but not limited to open houses, student visits, play dates and new student orientation.
Supports the creation and updates of all relevant admissions reports, including but not limited to monthly board reports and the annual ISAS DASL report.
Works with the Director of Marketing and Communications to collect and compile data to determine marketing effectiveness and the impact on applicant and enrollment objectives for targeting selected groups and populations in the areas of admission, enrollment and attrition so as to provide timely information to the Head of School and Board of Trustees.
Updates, creates and/or coordinates components of enrollment packets, admission packets, admission-related letters and mailings and all other admissions-related collateral and language working with the Directors of Admission and Marketing/Communications.
Maintains a variety of data including SchoolAdmin and the database of community partners and preschool directors.
Supports the annual re-enrollment process as needed and as directed by the Director of Admission.
Supports programs designed to retain students who are currently enrolled.
Sits on the Admissions Committee and conducts meetings when the Director of Admission is unavailable; sits on the Marketing and Admission Committee.
Is responsible for all duties mentioned above, as well as other tasks assigned by the Director of Admission or as needed from the Advancement Team.
Creates new student accounts in the digital master student filing cabinet with appropriate documentation.
Qualification Requirements
Bachelor’s degree in education, business, communications, marketing or similar field required.
5 years’ experience in sales or admissions or similar fast-paced environments.
Experience working with a CRM or database, preferably school-related; experience working with hosted or cloud-based databases and systems preferred.
Proficiency in Google Workspace applications including but not limited to Gmail, Calendar and Drive (Docs, Sheets and Slides).
Excellent written and oral communication skills; exceptional organizational skills with the ability to be detail oriented .

Ability to develop, maintain and promote cooperative, professional and respectful working relationships with all employees, parents, students, trustees, volunteers and prospective families.
