Position Summary
St. George’s Episcopal School is searching for an experienced, enthusiastic and poised school secretary. The school secretary oversees the everyday operations of the Porteous Hall office and provides essential administrative support to the entire school community.
Essential Duties and Responsibilities
Organizes and performs a variety of administrative, secretarial and clerical tasks for the Porteous Hall (3rd-8th Grade) side of campus.
Greets all incoming visitors as the primary point of contact and provides a warm and welcoming environment to all faculty, staff, students, parents and other visitors.
Manages telephones and gates on Napoleon Avenue, General Pershing Street and Camp Streets; answers phones and delivers messages in a timely manner to administrators and other staff.
Assists the Director of Admission and Admission Coordinator with Early Childhood and Lower School student ex-missions and corresponding teacher forms.
Arranges and schedules substitute teacher coverage for Middle School faculty.
Ensures substitute teachers arrive on time, follows substitute teacher protocol in respective division(s) to help the substitute teacher transition smoothly throughout the day.
Collects daily attendance for Pre-K4 - 8th grade and forwards this information to the Assistant to the Head of School for the Daily Bulletin.
Drafts and prints student attendance records as needed.
Oversees the school’s internal Google Calendar, adding, updating and removing events as requested by administrators and others; conducts an annual calendar planning meeting each winter for the coming school year.
Update the school directory and archive non-returning student files.
Notify the full administrative team and support staff of which employees are absent daily via email.
Front desk duties include but are not limited to: answering phones, supporting visitors, distributing mail, sending and updating faculty/staff communications as needed, monitoring the security cameras and communicating with the Security and Maintenance teams.
Create the LA Required Services log sheets and distribute them to the faculty (Kindergarten - 8th grade) and staff that are required to complete them. Keep a list of the reportable dates and distribute the list to everyone at the end of the school year to make sure that the submitted forms are correctly filled out.
Update signage for the Porteous Hall side of campus in consultation with the Director of Marketing and Communications.
Updates the safety logs and safety maps and conducts safety drills in conjunction with the Emergency Operations Coordinator.
Coordinates Porteous Hall office messages, such as maintenance issues and necessary communication with parents to support the administration of the school.
Receives packages and notifies recipients of their arrival.
Creates, organizes and updates daily carpool forms.
Maintains logs in accordance with St. George’s standards: attendance, visitors, carpool, etc.
Maintains postage machine, copy machine and office materials (orders copy paper for the entire school, etc.); calls WJS when service is needed on any copier.
Orders office supplies for the administrative employees, including branded stationery in conjunction with the Director of Marketing and Communications.
Prepares emergency binders with updated information.
Notifies our USPS location (70115) of any extended office closing so that the mail will be held (or picked up as the situation dictates).
Maintains open communication with the School Nurse and supports them in tasks such as temperature checks, administering ice packs, administering first aid and medicine and communicating with families when the School Nurse is not available.
Orders/purchases food for events such as full faculty/staff meetings and lunches for employees on professional development days.
Books reserved space for meetings held in the library.
Maintains student files for 3rd - 8th grade in conjunction with coordinators.
Cleans, organizes and maintains the Porteous Hall office.
Completes all other duties as assigned by the Assistant to the Head of School.
Qualification Requirements
Bachelor’s degree preferred; high school diploma or equivalent required.
3 Years of clerical experience, preferably in a school setting.
Proficiency in Google Workspace applications including but not limited to Gmail, Calendar and Drive (Docs, Sheets and Slides).
Ability to use an online student information system, various educational platforms and safety/communication applications on a chromebook, iPad and/or a smartphone.
Familiarity with using copiers, printers, document cameras and presentation screens.
A sense of integrity, ethics and ability to carry out responsibilities in accordance with the school’s policies and procedures.
Attention to detail.
Strong organization and excellent communication skills; ability to multitask.
Working Conditions / Physical Demands:
Must be physically able to operate computers and office equipment.
Occasional bending, reaching, squatting, kneeling and twisting; constant walking, speaking and listening; frequent sitting, often on the floor.
Occasional lifting up to 40lbs.
