The Tradeshow & Conference Coordinator is responsible for the coordination of all activities related to conference proceedings and special events produced by the MCCNO Trade Show Department, including but not limited to high profile educational programming, festival activities, continuing education opportunities, conferences and meetings, exercises, off-site programs, and social events.
MAJOR ACCOUNTABILITIES include the following. Other duties may be assigned.
Assist with the event operations and execution of all logistical aspects of department events.
Collaborates with the Director on the planning and execution of each event
Oversees set-up and breakdown, pre-event, on-site and post-event special event activity including but not limited to managing session rooms, creating a “Show Guide” and distributing event information to stakeholders, reconciliation final billing for all orders associated with conference events, manage speaker thank you notes, and expense reimbursements, post-show survey programs and post-show reports.
Provide precise attention to detail to ensure all event material is complete and up-to-date.
Fulfill requests for information.
Coordinates event programming to include special performances/entertainment, educational seminars and demonstrations, and coordinate all communication to and from speakers and performers, visa facilitation, speaker travel logistics, etc.
Assist in building online registration portals for each conference as well monitor online registrations and attendee communications. Work with selected registration vendor, manage onsite Temporary Staff/Labor and manage on-site registration process.
Oversee the production and display of event-specific signage and promotional materials with the Creative Services team and manage through completion.
Collaborate with the Sponsorship Sales Manager on the logistics and implementation of sponsorship activations, tracking and fulfilling event-related activations and benefits for major sponsors
Work with the Communications department on marketing events. Edit promotional pieces for the department’s marketing efforts.
Look for opportunities within the community to enhance and develop new partnerships with like-minded organizations and companies. Assist in building relationships with key companies in the community.
Assist in areas outside the normal duties directly related to conference events.
Bachelor's degree from four-year college or university; and two to four years of related work experience in the field of event / conference management in a convention center or large multi-purpose facility preferred; or equivalent combination of education and/or work experience. Certification from a related professional trade organization a plus.
